📖Guide: Profit Margin vs Markup: They're Not the Same Thing

Supported Formats

Common Uses

Checking whether a product line is actually profitable after all costs
Deciding how to price a new product to hit a target margin
Comparing this month's profitability against last month's
Testing how a price increase or cost change would affect the bottom line before committing to it

💡 Pro Tip

Run the same numbers through Simple mode first for a quick sanity check, then switch to Business mode for the detailed operating-expense breakdown — comparing the two can reveal whether a few large expenses are hiding in your "total cost" figure.

📖Profit & Loss Calculator Guide

Analyzes revenue, costs, and margins for your business, with a business health rating, break-even analysis, pricing guidance, period comparison, and a What-If Simulator for testing scenarios.

When to use this

Use this to understand whether your business (or a specific product) is genuinely profitable, price a product correctly, compare performance period-over-period, or test how a change in costs or revenue would affect your bottom line.

Step-by-step workflow

  1. 1Choose Simple or Business mode Simple just needs Revenue and Total Cost. Business breaks costs into Cost of Goods Sold plus 9 named operating expense categories (or your own custom ones), each as a fixed amount or % of revenue.
  2. 2Review your Business Health status A color-coded rating from Operating at a Loss up to Excellent, based on your net margin.
  3. 3Open any optional section you need Break-even Analysis (unit-level), Pricing Insight (target margin or target price), Compare to Previous Period, or the What-If Simulator.
  4. 4Try the What-If Simulator Adjust Revenue, Selling Price, Cost of Goods, or Expenses independently to see a Current vs Projected comparison — this never changes your actual entered figures.
  5. 5Review the Expense Breakdown Every cost line ranked highest to lowest, so you can see immediately what's driving your costs.

Tips for best results

  • Use the dedicated Break-even Analysis section (Fixed Costs + price/cost per unit) for precise unit economics — it's more accurate than the automatic break-even estimate shown in Business mode's stat cards, which assumes costs scale proportionally with revenue.
  • The What-If Simulator never alters your actual entered numbers — it's a safe space to test "what if I raised prices 10%?" without losing your real figures.
  • Use Compare to Previous Period to see whether your margins are actually improving or just your revenue is.

Common mistakes to avoid

  • Confusing the automatic break-even figure shown in Business mode's stat cards with the dedicated Break-even Analysis section — the first is a rough estimate, the second is a precise unit-economics calculation. Use the dedicated section when you need an accurate number.
  • Treating the Business Health status tiers as an industry-specific benchmark — the thresholds (5%/15%/25% margin) are a general guideline, not tailored to your specific industry.
  • Naming two custom expense rows the same thing — the tool will warn you, but it's worth using distinct names to keep your Expense Breakdown clear.
